Who we are and when this policy applies
Applied Velocity provides an organisational-intelligence platform, AI-led interview tools and related professional services. This policy applies when you visit our public website, contact us, hold an account, take part in an interview, or use an Applied Velocity workspace.
For account administration, website enquiries and our own business operations, Applied Velocity normally acts as the data controller. When an organisation asks us to process participant, interview or workspace data on its behalf, that organisation is normally the controller and Applied Velocity acts as its processor. In that case, the organisation's privacy information and our agreement with it also apply.

Personal data we collect
Depending on how you use Applied Velocity, we may process:
- identity and contact details, including your name, work email and organisation;
- account, authentication, permissions and security-event information;
- organisation data such as role, department, location and reporting relationships;
- interview responses, transcripts, files, chat messages, analysis inputs and generated reports;
- enquiries, support requests and other correspondence;
- device, browser, IP address, request, diagnostic and service-usage information needed to operate and protect the service; and
- preferences such as notification choices.
We receive data directly from you, from the organisation that gives you access, from other authorised workspace users, and automatically when the service is used.
How and why we use personal data
We use personal data to:
- provide accounts, interviews, workspaces, reports and support;
- authenticate users, apply permissions and keep the service secure;
- generate requested analysis and AI-assisted outputs;
- communicate about the service and respond to enquiries;
- maintain, troubleshoot and improve reliability and usability;
- meet legal, regulatory and contractual obligations; and
- establish, exercise or defend legal claims.
Our legal bases may include performing a contract, taking requested pre-contract steps, complying with law, pursuing legitimate interests in operating and securing our business, and consent where it is required. Where we act as a processor, the customer organisation determines the purpose and legal basis for its processing.
AI-assisted processing
Applied Velocity uses AI systems to conduct structured interviews, organise workspace information and produce analysis or draft outputs requested by authorised users. AI outputs may contain errors or incomplete inferences and should be reviewed by an appropriately informed person before consequential decisions are made.
We do not use solely automated processing to make legal or similarly significant decisions about interview participants. Customer organisations remain responsible for how they use outputs and for providing any notices or obtaining any permissions required for their use case.
International transfers
Some providers may process data outside the United Kingdom or the country in which it was collected. Where required, we use recognised safeguards such as adequacy regulations, approved contractual clauses and relevant supplementary measures. Customers with specific data-location requirements should raise them before using the service.
Retention and security
We retain data only for as long as needed for the purposes described here, to provide the service under an applicable agreement, and to meet legal, security and dispute-resolution requirements. Retention periods vary by data type and customer instructions. Data may be deleted or anonymised when it is no longer required.
We use technical and organisational measures designed to protect personal data. No internet service is completely secure, but we review and improve our safeguards as the platform develops. More detail is available in our security overview.
Your rights and choices
Depending on where you live and the circumstances, you may have rights to access, correct, delete, restrict or object to processing, receive portable data, and withdraw consent. You may also have the right to complain to a data-protection authority.
Contact us to exercise a right. If your data is controlled by one of our customers, we may direct your request to that organisation or assist it in responding. We may need to verify your identity before acting.
In the United Kingdom, you can also contact the Information Commissioner's Office.
